Covid-19 Preparedness Plan

As many states start to lift stay-at-home orders, small businesses are starting to reopen with a few notable exception. At Oak and Lace we want to take a moment to outline our plan for reopening to help our clients, employees and vendor partners understand what to expect when working with Oak and Lace.

As with many other small businesses we are excited to get back to doing what we love, preserving breathtaking moments fueled by the natural events in your life. However, we are also aware that in order to do so safely, we must follow our state and federal guidelines.

Moving forward Oak and Lace will follow the procedures and guidelines below:

2021 Mask mandate : As states lift mask regulations and increase event capacity many guests and even other vendors may choose to not wear a masks during weddings. All Oak and Lace photographers/videographers and assistants will wear masks at any event we cover.

Disinfection – All of our equipment, props, and print products and any other object in which a client may come into contact will be sanitized before and after a client use.

Staff Coverage – For the safety of our clients and staff Oak and Lace staff are instructed to stay home if they are not feeling well. With a large team of photographers, we will find a replacement for any session/event with a comparable level of quality.

Face Masks – All of our photographers will wear face coverings or masks during photo sessions if indoors. If outdoors and more than 6 feet apart donning a mask is at the discretion of the photographer/cinematographer. Inside of Churches or smaller venues of under 60 people, the Oak and Lace professional will be wearing a mask.

Outdoor Photo Sessions Strongly Encouraged – We will encourage outdoor photoshoots at public parks, beaches, and other open areas as much as possible. In a few cases such as portraiture – we will setup a photo set outdoors.

Maintaining Social Distance – Whenever possible, we will maintain our distance while working. Using hands free posing for couples and families and utilizing lenses with longer focal lengths.

Special Precautions – For your particular shoot, please let us know if there are any other guidelines that you would like us to follow.

Oak and Lace has an obligation to keep you safe when you work with us and we want to make sure you feel as comfortable as possible. We understand that these are uncharted territories for us all, however, we can each do our part to keep living happy, healthy and vibrant lives.

Covid- 19 FAQ regarding Oak and Lace policies

Will you still be photographing or Filming our wedding?

Absolutely! We still plan to cover 100% of the weddings we have scheduled for this year that were not rescheduled for 2021. As long as your venue carries forward and we are within the laws and limitations set by the state of the wedding.

On cancellations or rescheduling

Due to the nature of Covid-19 and the ever evolving circumstances we expect you would like to see how things change and progress as time passes. We imagine that the last thing you want to do is cancel or reschedule and we know that your choices will be largely dependent on so many personal factors: Travel plans of your guests, home location of your families and friends, recommendations and requests by your venue and vendors, etc. With that said the best course of action is to contact your wedding insurance if you have it. They are an excellent resource to refer to if the government declares a lockdown, or if the wedding has to be postponed or cancelled due to COVID-19. They will let you know your next steps, which will help when you chat with your vendors.

What happens to our retainer, contract, wedding date, etc., If we need to reschedule our wedding?

Oak and Lace has a non refundable retainer upon booking your wedding. If the wedding is cancelled or rescheduled, whether as a result of government recommendation, third party choice (venue, etc) or personal choice, unfortunately we will not be refund this retainer per policy.

However, should you choose to cancel and not reschedule you will of course not be expected to pay any remaining balance beyond the retainer on your wedding photo/cinematography contract.

If we decided to cancel our wedding completely, do we get a refund?

Refunds on retainers for cancelled weddings are not available per Oak and Lace policy.

With that being said, beyond a rescheduled wedding, we are making additional exceptions to our contract under the unique circumstances of this pandemic: Your retainer can be used toward another session/event such as an elopement, engagement photos or adventure session, or something else we discuss that is comparable in scope to wedding photography or cinematography. These must be scheduled and used by the end of 2021.

What happens if we become sick? or you become sick?

If you or your future spouse present symptoms of illness and choose to go against CDC recommendations (of quarantine for 14 days) that you let me know. We strongly feel that in this case you should immediately cancel your event to reduce the spread of this virus to your guests and vendors. As your wedding professional we will spend a lot of time with you and come in to very close contact all day. If you are exhibiting possible symptoms of COVID-19, please exercise best judgement.
